REGISTRATION STEPS:

Step 1: Promotion to your men
     Spread the word among your men about the retreat and the registration deadlines! To help promote it, we have the retreat brochure as well as half-sheet flyers and a letter-sized 8.5x11 poster that you can print out and display at your church to advertise the retreat.

Step 2: Submit online church registration by Feb. 4th
     Collect the registration forms from your men and determine how many will be attending and their accommodation levels.
     Then complete and submit the online registration form no later than February 4, 2022.  You will receive a confirmation email within a few minutes of submitting the online registration.  Print this email to send in with your church's deposit check.

IMPORTANT NOTE ABOUT ACCOMMODATIONS:  You'll notice we are again using the terminology for the accommodation levels as GoodBetter, and  Best in hopes of making the men aware that EVERY accommodation is rustic and shared with roommates.  The 'Good' accommodations provided by Mount Hermon are very limited and fill up quickly.  During your individual church registration process, please allocate 'Better' and 'Best' accommodations along with 'Good'.  We make every effort to provide 'Good' accommodations equally to as many churches as possible.  If adjustments are necessary, you'll be contacted by our event coordinator, Michelle Kendrick (michelle@convergepacwest.com). 

Step 3: Mail the non-refundable deposit and registration confirmation by Feb. 4th
     There is a $30 non-refundable deposit required for each man registered for the retreat. Example: If your church reserves 20 total reservations consisting of 10 'Good' and 10 'Better' accommodations, the non-refundable deposit would be $600 [20 reservations X $30 per non-refundable deposit].

Please make the church check payable to "Converge PacWest" and indicate Men's Retreat on the memo line.  Mail a copy of the confirmation email and the non-refundable deposit to:

Step 4 - Complete the rooming spreadsheet and email back to us by Feb. 9th
     Upon receipt of your online registration submission and the non-refundable deposits, rooms will be assigned for your church.  We will email you an Excel spreadsheet with the rooms listed and we will ask you to assign your men to the rooms based on their accommodation levels and roommate requests.  EXTRA IMPORTANT THIS YEAR: When assigning men to the rooms in this time of Covid, registrars should be in contact with their men to make sure the guys are comfortable with the roommates the registrar has chosen.  We will heavily rely on the church registrars to communicate with their men about roommates.  All roommates and rooms are set prior to the retreat.

     Please also include any special needs (accessibility, etc.) that may exist for your men.  Return the completed rooming spreadsheet by Michelle Kendrick (michelle@convergepacwest.com) no later than February 9th.

 

Step 5 - Send a check for the balance of your retreat fees by Feb. 25th.
     Mail your church check for the balance of your retreat registration fees so they are received at PacWest no later than February 25th.

SCHOLARSHIP INFORMATION:

Two kinds of scholarships are available this year through the generous giving at previous retreats where men felt that finances should not prevent guys from attending and growing spiritually.  All scholarships will be in partnership with each applicant's church.

  • The applicant should fill out the form and turn it in to their church's retreat registrar.
    • Scholarship Application Forms: General Scholarship application form and Urban & Rural Scholarship application form
    • For General Scholarships, the registrar, in coordination with the church office, will decide what portion of the amount the church is willing and able to pay (churches are asked to assist with the General Scholarship).
    • For Urban & Rural Scholarships, the registrar will indicate by his signature that the church is favorable to the applicant receiving a scholarship (up to $100) from PacWest's Urban & Rural Scholarship Fund.
  • The completed form should then be emailed to Michelle Kendrick at Converge PacWest (michelle@convergepacwest.com).
  • PacWest will review the application and get back to the registrar with the decision.

Please contact Michelle Kendrick if you have questions about the scholarship process.  DEADLINE: all scholarship applications are due to PacWest by January 31st.

  • February 4th - deadline for the mailed reservation confirmation AND $30 per person non-refundable deposit
  • February 9th - deadline for returning the completed rooming spreadsheet
  • February 25th - deadline for the remaining registration balance to be received at Converge PacWest
